Personal Assistant (Infrastructure) - Edinburgh - Salary up to £30,000 p/a DOE

We are looking to speak to experienced PA's who are looking to secure a new opportunity in Edinburgh! For this role, you will have experience providing PA support to a team of Partners/ Fee Earners within a busy Infrastructure team, providing diary management, administrative support as well and excellent stakeholder contact daily. Ideally, you will have experience within a Legal or Professional Services environment, and can manage your time and diary effectively to complete all tasks to a high standard within set deadlines. This is a fantastic opportunity to join an established business who are highly regarded in their field!
This is a full-time, permanent role, working core business hours Monday - Friday. The salary for this role is up to £30,000 p/a + DOE.
Are you who we are looking for?
- You are an experienced PA with experience within the Legal or Professional Services sectors
- You enjoy building relationships with key internal and external stakeholders daily
- You are proactive, well organised, and able to manage a variety of tasks daily working within set targets and deadlines
- You are experienced in the use of Microsoft Packages, Digital Dictation and other software
- You can manage your time and diary to complete a volume of tasks within specified timescale
- You can work well individually and within a wider team environment
- You have experience completing a variety of administrative tasks
- You are proactive, flexible and able to handle an ever changing diary daily
What is the day to day like?
- Producing correspondence, documentation and presentations using relevant software daily
- Opening and closing client files, completing any AML checks, and following all internal processes and procedures daily
- Managing diaries daily, checking any weekly, monthly or annual commitments in advance
- Booking internal meetings, IT Support, catering and travel when required
- Managing any email accounts, including Partner and Fee Earner inboxes while absent
- Managing attendance, rooms and technology for any internal team meetings, as well as following up with actions
- Carrying out reviews with Fee Earners in connection with billing and payment of invoicing
- Managing a process for producing invoices, as well as completing all information for client portals
- Handling any enquiries regarding invoicing, gaining PO numbers when required and other duties
- Completing all filing, scanning, binding, photocopying and other administrative tasks
- Building relationships with key internal and external stakeholders, providing excellent standards of service at all times
- Completing all other administrative duties when required
- Liaising with internal teams including Finance, Facilities, Reception, Marketing, IT and others
- Providing support within the wider PA group across all divisions and offices when required
