Executive Assistant (Commercial Property) - Aberdeen - Salary up to £32,000 p/a

Are you looking for a new opportunity to join a leading Legal firm, with great presence in Aberdeen? 

We are looking to speak to experienced Legal Executive Assistants, who are looking for a new challenge in Aberdeen. Ideally, for this role you will have commercial property experience within a professional, legal environment. You will be experienced managing diaries for partners and fee earners, providing administrative support daily, and excellent service to external clients when required.

This is a full-time, permanent role, working Monday - Friday 9am - 5pm, and will follow a hybrid working model. The salary for the role is up to £32,000 p/a depending on experience + benefits. 


Are you who we are looking for?

  • You are an experienced executive assistant with residential property experience, gained from a legal environment
  • You are able to work under pressure to set targets and deadlines daily 
  • You are a confident communicator both written and orally 
  • You are proficient in the use of Microsoft Packages, and BigHand 
  • You can manage your time and diary effectively to complete all tasks
  • You enjoy building strong business relationships with internal and external stakeholders 
  • You actively review and seek opportunities to provide a more efficient service to colleagues daily 
  • You are flexible and able to manage your workload 
  • You can work well individually and within a wider team environment 
  • You are proactive and able to work using your initiative 


What is the day to day like? 

  • Providing full diary management, making and amending appointments, arranging meetings and tracking responses 
  • Proactively managing inboxes daily, ensuring documents are copied to the relevant client folders
  • Managing time and diary to complete all tasks within set targets and deadlines 
  • Flagging emails, ensuring all information is followed up and dealt with promptly, checking inboxes and actioning any urgent requirements 
  • Maintaining knowledge of any current affairs in the office, to be able to deal with clients and third parties daily via telephone, email and F2F
  • Drafting letters of engagement, setting up and maintaining data and information, updating contacts and distribution lists on outlook 
  • Assisting with all post-transaction admin tasks, including searches, registrations, testing clauses, monitoring and chasing landlord signatures, as well as document sweeps, dictation and monitoring accounts 
  • Assisting with billing and attending team meetings, preparing billing letters dor sign off and taking responsibility for monthly printouts, liaising with the cash-room
  • Sourcing travel and accommodation when required, minute taking, completing mail merges 
  • Providing assistance to other Exec Assistants in the team as required
  • Maintaining knowledge of the company policies and procedures, as well as any internal processes
